Section 1: Overview
This Release Notes document will introduce New Features, Software enhancements and
Software Debugging and upcoming features.
Section 2: Software New Features
2.1 Security Role Enhancements
Description: We are pleased to introduce enhanced security roles to improve data
management, streamline access, and ensure appropriate permissions across various user
types. The following roles have been added or updated:
Family Role
- Assigned to family members accessing the Guardian Portal.
- Capabilities include:
o Creating a new account.
o Adding personal and child information.
o Managing family support details.
o Enrolling in camps (if offered). - Adding banking or credit card information (if the organization uses our payment
process).
Childcare Provider Role
- Assigned to childcare educators.
- Capabilities include:
o Viewing children’s files.
o Entering real-time attendance.
o Recording daily journals, injury reports, and safety checks.
o Generating child-related reports (e.g., medical, family support).
Enrolment Admin Role
- Assigned to enrolment administrators.
- Capabilities include:
o Creating and editing children’s files.
o Entering and updating real-time and manual attendance.
o Adding services to children’s profiles.
o Recording daily journals, injury reports, and safety checks.
o Generating child-related reports (e.g., medical, family support) as well as
attendance and service reports.
o Managing event-related information
Personnel Admin Role
- Assigned to human resources administrators.
- Capabilities include:
o Creating and editing personnel roles.
o Viewing the timeclock.
Financial Admin Role
- Assigned to individuals responsible for financial management.
- Capabilities include:
o Setting up financial accounts, subsidies, and grant providers.
o Managing Accounts Receivable.
o Invoicing services and creating statements.
o Collecting payments and issuing tax receipts.
o Accessing financial reports for monthly statement preparation
Location Admin Role
- Assigned to site supervisors.
- Capabilities include:
o Full access to Enrolment Admin, Financial Admin, and Personnel Admin
features for their assigned location only.
o Managing location-specific setup
Organization Admin Role
- Assigned to the organization’s director, assistant director or project leader.
- Capabilities include:
o Full access to all system data and features
Security Administrator Role
- Assigned to the organization’s director, assistant director or project leader.
- Capabilities include:
o Security Administrators can provide users access to the system.
How to Setup Security Access to a New Contact.
- Go to Contacts.
- Add Individual
- Enter the contact’s name and email. Select Save.
- Select Create User Login.
- Select the role the user will have access to.
- Click Send.
- On the contact’s file, you will now see a Security Login field.
- You can assign multiple security user types to a single contact.
- You can also add the locations they have access to by selecting the associated
locations.
How to Setup Security Access to an Existing Contact.
- Go to Contacts.
- Enter the contact’s name and select Edit.
- Select Create User Login.
- Select the security role the user will have access to.
- Click Send.
- On the contact’s file, you will now see a Security Login field.
- You can assign multiple security user types to a single contact.
- You can also add the locations they have access to by selecting the associated
locations.
NOTE: These security roles will only appear once a user is created (email log in).
These enhancements ensure users have appropriate access levels to support their
responsibilities while maintaining data security and integrity. If you have any

Section 3: Software Enhancements
3.1 Event Registration (Camps)
Description: We’re excited to introduce powerful new enhancements to the Event
Management feature—designed to give you quicker access to critical planning information
and more control over event details, all from one place. These enhancements bring improved
visibility, flexibility, and efficiency to your event planning process. Dive in and experience the
upgraded Event Management today!
Streamlined Event Search:
Find the event you’re looking for with ease! Filter events by:
- Location
- Date range
- Age group
- Service
- Bus route
Click GO and the system will display key event details at a glance:
- Location
- Event name
- Session name
- Start date and time
- Total enrolled
- Total on the waitlist
Improved Session Details:
When you select Edit on a session, you’ll now be able to view detailed participant
information, including:
- Child’s name
- Account holder’s name
- Phone number and email
- Enrolled date
- Medical information
- Bus route (if applicable)
- Session status (Enrolled, Pending, Waitlist)
More Control with Session Management:
Make real-time updates directly within the session:
- Change session status
- Update the payer
- Add an existing subsidy approval
CSV Export – Right Where You Are:
One of the most exciting updates—you can now export all session details to a CSV
file directly from the Event Management page. No need to leave or navigate away!
3.2 CSV Export from Any Grid View
Description: We’re excited to introduce the first release of a powerful new enhancement—
CSV Export is now available anywhere you see a data grid in the system! This means you can
quickly and easily export data such as invoice services, contact records, and more with just a
single click.
This is Phase 1 of a two-part release, with more export functionality still in development.
Stay tuned for continued improvements that will make working with your data even more
efficient.

- This enhancement gives you faster access to the data you need—right where you’re

Section 4: Software Errors and Debugging
4.1 Attendance Forms Monthly 5 and 7
Description: The Attendance forms were missing the days of the month if the month had
over 21 days and there were months that were overlapping on the single form. This has now
been corrected.
4.2 Accounts Receivable Report
Description: When selecting a branch, the system would not create the report and display a
runtime error. This has now been corrected.
4.3 Event Registration Report
Description: Updated the report parameters (default to the current year), now will display all
services the guardian signed up for. If the status changes on the session, they can simply
select the link in the original email and the report will be updated
