For PA (Professional Activity) and PD (Professional Development), days are scheduled days in the school year where students do not attend school but do attend your childcare services, you can create these as a service and then attach them to a child’s account.
Please note the process below is more for irregular attendance. For children who regularly attend PA/PD Days, please use the condition School Open/ School Closed when adding childcare services to the child’s account.

- Create the item for this Service:
- Go to Setup
- Accounting
- Items
- Scroll down to the bottom, click on the “+ Add Customer Item”:
- Name = example: PA/ PD Days
- Description = same as Name
- Group = Childcare
- Tax Receipt Item Type = Fee
- Account = Select the relevant GL account as per your Organization
- Tax Group = Non-Taxable
- Active = Selected
- Add Price: Click “+ Add Item Price”
- Enter the price
- Click the checkmark to apply,
- Click the SAVE icon to save all.
- Create a service
- Go to Setup
- Organization
- Services
- click “+ Add Organization Service”:
- Name = example: PA/ PD Day
- Description = same as Name
- Age Group = select if applicable
- Billing Rate Type = typically set to “Daily”
- Childcare Grant = select if applicable
- Discontinued = leave as NOT selected
- Start Date = the date you start to offer this service
- Start time = time children arrive
- End Time = time children depart
- Frequency = Weekly
- Every Week = 1
- Days of the week = Monday to Friday
- No Recurrence End: leave selected
- Locations tab:
- Select all Locations that offer this service
- Click the checkmark to apply
- Click the SAVE icon to save all
- Applying the PA/ PD service to many children at once:
- Go to Area Management
- Select Batch Services
- Contact Selection Tab, select all children you would like to add the PA/ PD Service to their account:
- Active Type = Active
- Location = Select the Location
- Date Range Type = select applicable
- Start Date
- End Date
- Age Groups = select for a more filtered selection
- Areas = select for a more filtered selection
- Service Type = childcare
- Services = select for a more filtered selection
- Service Statys = select for a more filtered selection
- Attendance Type = select for a more filtered selection
- School = select for a more filtered selection
- Full Fee = select for a more filtered selection
- Partial Fee = select for a more filtered selection
- Click GO
- This will display a list of children as per your selected filters
- Select the children, with a blue checkmark, to apply the PA/ PD Service
- Click NEXT
- Childcare Tab, select the PA/ PD Days:
- Click “+ Add Childcare”
- Select your PA/ PD day:
- Enter all criteria
- Click the checkmark to apply
- Click NEXT
- Post tab, the system will display the number of children whom you’ve selected to add the new service.
- Click POST to apply this service to the children’s accounts.
