Guardian Portal – Getting Started
When first introducing the Guardian Portal to parents, caregivers, and guardians, we recommend communicating the following guidelines to help ensure accounts are set up correctly and duplicate records are avoided.
Paper registration forms: If your organization would prefer parents to complete a paper registration form, these can be accessed under Reports > Child > Registration > Child Registration Report. Select Fillable – Child Registration as the View Style.
One account per household: We recommend creating one Guardian Portal account per household, typically for the primary account holder—the person responsible for paying childcare fees and who will require the tax receipt at year-end.
Review information carefully: When setting up an account, take the time to review all information before submitting it. This helps prevent errors and duplicate records.
Invitation and temporary password: New users will receive an email invitation containing a temporary password to access the Guardian Portal for the first time. Users should change the temporary password to a secure password of their choice.
Required information: If your organization requires specific information to be completed during registration, be sure to communicate these requirements clearly to parents and guardians.
